SCOPE OF POSITION:
As an integral member of the counselling team, the successful candidate will provide administrative support to ensure the smooth and efficient operation of counselling services offered at NROCRC. The position requires exceptional organizational, communication, and time-management skills to support workshop coordination, client intake, registration, and overall program logistics.
This individual must demonstrate professionalism, discretion, and a commitment to NROCRC’s model of Community Development.
JOB SPECIFIC RESPONSIBILITIES:
- Provides administrative support to the counselling team, including document preparation, scheduling, and communications
- Oversees registration and organization of counselling workshops, seminars, and information sessions
- Maintains and updates workshop attendance lists, waitlists, and participant follow-ups
- Covers for Intake Worker when needed
- Responds to telephone, email, and in-person inquiries related to counselling services in a professional and confidential manner
- Maintains accurate and up-to-date data entry and filing systems (both electronic and paper-based)
- Coordinates internal and external communication, including promotional materials for counselling-related programming
- Supports logistics for internal team meetings, supervision, and case conferences
- Liaises with community partners, stakeholders, and other NROCRC departments as needed
- Assists in the preparation of statistical reports and program summaries
- Performs other related administrative duties as required

QUALIFICATIONS:
- Post-secondary education in Office Administration, Social Services Administration, or a related field
- Minimum two (2) years of administrative experience, preferably in a social service or healthcare environment
- Strong organizational skills with the ability to manage multiple tasks and priorities
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office Suite and electronic database systems
- Experience coordinating events or workshops is a strong asset
- High attention to detail and accuracy in data entry and record keeping
- Ability to work independently and within a multi-disciplinary team
- Fluency in English & French is essential; other languages (e.g., Arabic) are an asset
- Vulnerable Sector Police Check is a requirement
- Flexibility to work occasional evenings as needed
Salary: $27.50 /hour
Terms of Employment: Part-time (0.5 Full-Time Equivalent) or 17.5hrs/wk
